Branch Administrator

Headingley, MB

We are seeking a highly organized and detail-oriented Branch Administrator to support our Manitoba operations. This position serves as the administrative hub for the branch, providing support across office administration, service operations, and customer service functions.

Reporting to the Director of Operations and working closely with the Service Manager, the successful candidate will help ensure service work is administered efficiently and accurately while maintaining branch records, documentation, and administrative processes. This role offers a mix of administrative and service coordination in support of the branch's daily operations.

Duties and Responsibilities

Office Administration

  • Serve as the primary point of contact for visitors and incoming phone calls.

  • Maintain a professional and organized office environment, including boardrooms, reception areas, and staff common spaces.

  • Manage purchasing and inventory of office supplies.

  • Organize, maintain, and file company records and documentation.

  • Provide administrative support to branch operations.

Service Administration

  • Open, maintain, and close service jobs.

  • Prepare and process purchase orders and invoices.

  • Create and manage digital and physical job files.

  • Ensure service documentation, photos, and records are complete and properly filed.

  • Process employee expense reports and allocate costs appropriately.

  • Enter and maintain service-related timesheet information.

  • Prepare and maintain quality control records and service documentation.

  • Support job tracking and completion to ensure timely billing.

  • Maintain and update Safety and training records.

Qualifications

  • Experience working in a busy office

  • 5+ years of experience in office administration, service coordination, branch administration, or a related operational support role.

  • Strong organizational skills with exceptional attention to detail.

  • Ability to manage multiple priorities and meet deadlines.

  • Excellent verbal and written communication skills.

  • Proficiency with Microsoft Office applications, particularly Outlook, Excel, and Word.

  • Strong customer service mindset and professional demeanor.

  • Ability to work independently while contributing effectively within a team environment.

  • Experience with bookkeeping would be considered an asset.
